Operational Readiness Manager

Fund Administration

The Operational Readiness department is responsible for both on-boarding and off-boarding project management and coordination. It manages multiple investment vehicle events like creations, migrations, mergers, liquidations and dividends. The department is also in charge of the set-up and maintenance of investment vehicles and their respective operational flows in the fields of transfer agency and accounting during the full life cycle of the vehicles.


Your responsibilities:

  • Assist the Client Service Delivery, the Client Relationship and the Sales Teams in the pre-onboarding phase.
  • Coordinate the on boarding and off boarding within all the EFA operational teams and external stakeholders with the support of the Client Service Delivery Manager.
  • Participate in external client calls, meetings and workshops to assess the operational business needs and to provide guidance to the client.
  • Take part in internal meetings and calls to share key updates, to bring appropriate guidance and to collect required information from internal stakeholders.
  • Identify specificities associated to the investment vehicle events and assess the information required to properly manage them.
  • Analyse and review the investment vehicle documentation (Prospectus, Articles of Incorporation, Board resolution, …) received from clients and external parties.
  • Take the appropriate actions to collect all the relevant information to get setups ready in due time.
  • Liaise with external stakeholders (Management companies, depositary banks, clients) to gather information linked to the events.
  • Configure the data management, transfer agency and accounting systems.
  • Communicate with other internal departments to make sure events are accurately and timely integrated in the operational teams.
  • Share knowledge, develop and coach more junior team members.


Your profile:

  • Master degree in Finance or Economics.
  • At least 5 years experience in the fund industry (Financial reporting, Accounting, Transfer Agency) with a minimum of 3 years in the Private Asset fund industry (Private Equity, Real Estate, Infrastructure, Private Debt and other).
  • Good knowledge of Luxembourgish investment vehicle types and their operating mode.
  • Knowledge of MultiFonds Global Investor, Investran, Global Portfolio is a plus.
  • Fluency in German and English languages are mandatory. Other languages (French/Swedish) will be considered as an advantage.
  • Well organised, strong analytic and innovative thinking, solution and client oriented, autonomous, solid communication skills.
