Responsibilities and duties
- Prepare and process HR documents employee contracts and certificates, ensure accurate processing of HR documentation, and facilitate smooth onboarding and offboarding processes.
- Support in administrating new joiners: follow up of hiring formalities including medical visits, management of personal files and entry documents.
- Quality administrative support for all our HR processes related to time management, individual data, hiring and leaving management
- Ensure smooth collaboration with external organisations (CNS, CCSS, ITM, ADEM, cross-border institutions relating to telework) and internal departments of the firm to manage people administration properly.
- Maintain up-to-date and accurate employee data in HR systems, coordinate mandatory medical examinations for new hires, and manage maternity and parental leave requests efficiently.
- Manage employee time and leave, including annual leave, sickness, maternity, and parental leave, utilizing DSK time management system.
- Monitor and manage HR mailboxes, responding to employee inquiries with promptness and professionalism.
- Ensure the accurate maintenance and security of both hard and digital personnel records.
- Ensure timely and accurate processing of invoices.
Your profile
- A Bachelor degree in Human Resources, Business Administration or similar
- A minimum of 4 years’ experience in the relevant field with a proven track record
- Fluent in both written and spoken English and French. German would be considered an asset
- Excellent skills in Microsoft Offices (Word, Excel, PowerPoint) and IT tools such as SIRH (Workday, HRProfit, DSK)
- Knowledge of social security and labour law and their application in Luxembourg
- Outstanding ethics, ability to maintain confidentiality and handle sensitive information
- Highly numerate with exemplary attention to detail and accuracy
- Proactive and detail-oriented with excellent organizational and time management skills
- Flexible, autonomous with great team-player abilities
- Strong communication and problem-solving abilities
